I’ve been searching for better understanding of allocation schedule finish dates that pass, and time can still be reported. When a resource allocation schedule clears out in the Plan screen, resources can still report time, even if the schedule no longer exists.  After finish date passes, and progression runs the schedule line clears out. The task remains on the resource’s timesheet, and hours can still be reported. It is unclear to me why time can be reported to a project without an existing allocation.

I’m told this is by design, if time has already been reported for a project, the user can continue to report time for it even if schedule no longer exists.

My questions are do others experience this, and if so, are you simply communicating to the PMs to open the plan screen to monitor allocation schedules that are now blank? Or monitor using the Schedule v Actual report? Is there a configuration setting I am missing?

@LeannaM - our users struggle with this.  We encourage them to mark activities as complete within the project plan if no resources should be tracking time any longer.  If some resources will be working longer than others than is there a way to break that into multiple activities so work status can be updated. Once the activity is marked Complete then, based on the status rules your system is set for, they would no longer be able to track time. 

If this is a large concern then the other option would be to utilize reserves & authorizations as the dates on authorizations do in fact prevent time reporting in future weeks past the authorization end date. 


@pamela.sargent Thank you for the recommendations...and responding so quickly! I’ve been trying to wrap my head around reporting time without an allocation. I have started using reservations and authorizations for some new work items, and I do like that is respects finish dates a bit better. 

Part of the concern also is that the resources could still be working and need to report time, however, once that schedule clears out there is no demand. Perfect world it is monitoring more closely, and the forecast is updated when it comes to light a person is still reporting time and doesn't have a schedule. The Plan screen is always a struggle for folks identifying what needs to be updated and when. Thank you again, I always appreciate your knowledge and responses.  


@LeannaM - It is hard because once a resource uses all their remaining effort the dates on the allocation are removed but maybe they just haven’t communicated to the PM that they need more time (which is a problem with some of our resources), so would be hard for the system to know when a resource could still be working vs not. 

We also encourage our PMs to monitor the Time Reported on Your Work, which can be viewed at a portfolio level, to see who has tracked time or maybe in the process of tracking time, in addition to WRK28 - Scheduled vs Actual Effort Analysis.  Understand both of these are just monitoring and not restricting access but at least monitoring options.
