Controlling Adjustments to Already Submitted Time Sheets

We have a unique actual time billing process that requires us to pull actual time data from Planview Portfolios before the end of the month for some, but not all of our groups reporting time.  This is typically in the last week of the month.   We attempt to use the Cutoff Date to limit user’s ability to disapprove and edit timesheets that have already been billed.  Other groups however,  do not bill and would prefer to apply a different cutoff date,  typically further in the past.  We don’t see a way to adjust cutoff dates by Providing Org, Resource Node, or some other Resource Attribute.   Curious if anyone has a similar Use Case and/or ideas to solution this scenario.

"Feature" Discovered with OOTB Work Dashboard

We had been struggling with what we thought was a bug in the OOTB Work Dashboard.  Sometimes the number of projects on the dashboard against the datamart didn’t match the number of project shown in the active portfolio run against the transactional dashboard.  We knew the mismatch was not related to any refresh timing.  Further we could see that the data was actually up to date in the datamart.We were told by a PV reporting consultant that this is actually a “feature” and the reason for this is due to a portfolio itself needing to be refreshed/rerun.   So if you try to run the dashboard against a portfolio that hasn’t been run recently, it’s like the data will be stale in the dashboard view.    Have others seen this issue and do you have a workaround?  This is totally unacceptable and it is really tough to explain to end users who want to understand why the data isn’t lining up.

Using MS Project Add-In

We have a few users testing importing projects from MS Project to Portfolios using the MS Project add-in.  When trying to upload a MS Project plan (.mpp) to Portfolios, users are experiencing an error that I’m not sure how to troubleshoot. “-General Failure: Unable to update projects with tasks:  Index was out of range. Must be non-negative and less than the size of the collection .Parameter name: index” Anyone have any tips on what could be causing this error?  Thank you,Sonia Varney

Entering Time for a Group

Does anyone have any suggestions for entering time in bulk for a group?  We have a need to capture the hours associated with some groups outside our normal Portfolios Users and Resources.  We can easily create a Resource and call it “Contractors” or “Marketing Team”, but if we have another User enter time for the entire team on a weekly timesheet, we are limited to a maximum of 168 Hrs (7D * 24Hr).  We don’t need or even want the detail down to the names.  We would like to be able to enter using timesheet functionality and view the effort within our existing timesheet reports. FWIW - This portfolio is not part of an automated financial load and is not intended to be loaded into the financials for the work.

What Roles Used for View Only Access in Portfolios

I am curious what other customer do to provide read/view only access in Portfolios.   We have two types of roles but neither is quite right.   We go between the Team member role but that roles doesn’t allow access to Strategy and Programs or a Requestor role but this role doesn’t allow the user to create/maintain portfolios.    We would love to use the Requestor license more but are worried about the administration of the portfolios that is needed to support this type of role.     Any thoughts appreciated.

How to create a link to specific Work IDs, etc.

I am quite new to PV and I wonder what URL parameters are available in Planview. Explicitly I tried to create a link based on a Work ID. Unfortunately, it seems that only the Project Code (sc=12345) is used in the URLs. For the end-user, only the Work ID is know and available in our overviews. This makes it difficult to create direct links for example in automatically created reminder mails. Is there any documentation which parameters are available? As it might be a customized thing, I already asked my admin but he isn’t aware...maybe I asked the wrong question?Any hint is appreciated:) Thanks in advance.Example:xxxx.aspx?pt=PROJECT&sname=$Plan&sc=12345&mdl=1&ver=1#tab-STRATEGIES

Time Entry & Resource RW grant to their own Resouirce Record

Does time entry require resource to have read write access to their resource record?In our resource management process (because resource has RW access to their own resource record), that resrouce is able to modify their utilization for each project they are allocated.  Our desire is that only the supevisor (resource manager) should be able to modify these allocations.  Any inputs or suggestions in Customer Solution Center are appreciated.Joe

Progression & Removing Projects from Timesheets

We are finding that when a person is allocated to a project, and that allocation completes the system (progression) is not always removing that project from the resources timesheet.  Is there some specific logic that progression uses that creates an exception to removing the proeject from “Select Work”?Unfortunately, we have found that in these cases - the resource allocation appears the person should not be time writing to the preject, but the system continue to allow the time writing.  Note this will show as negative on the person’s timesheet, but does not prevent time writing.Thanks,Joe

Project Place - "Forcing" Document Check in and Check out

Hello.  Is there a configuration setting with Project Place documents to force that documents be checked out and checked in?  We have as part of project specific documentation for active portfolio projects were we would like to have only check in and check out capability for our “quality” documents.  If there is customer solution documentation that I can be referred to - that input would be greatly benificial.  Thank you.

Changes Tab, Issues Tab, Risks Tab Screen Management

 Good day, We desire to update the Changes, Risks, and Issues Tabs that are available for Work Entities. I have found this article on the Planview Customer Success Center which goes over these 3 tabs, including information on how users can customize the attributes and order displayed here. It is a nice feature that the users can update these views to their own preferences - however we are seeking a way to set up a default selection & order of the attributes displayed on these screens.  I have been digging through the success center and different admin screens to no avail. Can anyone help me locate where I can access these options, if they exist? Ideally we would have a set of default selected attributes and order when a user accesses any of these 3 screens from their project, so that key attributes are immediately visible and easily accessible: Then users could use the following options to select additional attributes for display that they may want to track:If anyone could provide

Power BI Portfolio Dashboard - unassigned fields

Have just installed the Power BI portfolio dashboard in Planview Portfolios and in the project details drill down I have missing data under some fields. In the screenshot below you will see that the Work Manager and the Work Sponsor  are unassigned and I’m not able to identify where these are being drawn from in Planview and how to ensure the fields are populated.  Any ideas welcome. thanks

Locking last month timesheets in Planview Portfolio?

Hi All, I am looking for you expertise - please help.We have weekly timesheet time periods. We submit and automatically approve our timesheet on Friday CoP or on the last day of the month. Progression runs automatically every Sunday night and at the end of month.Finance consolidates the timesheet actuals at the end of each month (extracting data from Planview).We want to lock timesheets so that they can no longer be disapproved/edited once the month is closed.We can disapprove/edit timesheets for the current and future months but not for last month.How can I do this in Portfolio please???How to you lock timesheet / cut off period etcI look forward to your help on this.Many thanks in advanceTony.

Creating an Actual/Forecast finance model version

I currently have 4 finance model versions.  I am trying to set up a model which displays the combination of Actuals for past months and Forecast for future months.  This data I am loading manually directly into 2 separate versions. Is there a way I can get this data to display in a single combined version?

Automated functional / regression testing woes

Hi everyone.I’m developing automated functional tests to speed up our validation of Planview Portfolio upgrades and so far it’s going well.  The tests automate user interactions with Planview Portfolios and verify that the screens/pages look as expected with respect to UI elements on said pages, but I’ve hit a roadblock with automating the creation of Work from the My Overview screen as the automation is unable to identify dynamically-created UI elements such as popup menus.For example, when I click on the “New” button a popup menu appears with the options Work, Strategy, Issue, Risk, Change etc, but the underlying webpage DOM element for that popup menu cannot be easily identified as it’s created dynamically and doesn’t have any uniquely identifying HTML5 element attributes such as “id” or “name” or even “class”.  This means that my automated test cannot execute that basic workflow and that complete automated functional testing of PV Portfolios is not possible.I’m hoping that what I’v

Custom Active Lifecyle Step tile

One of our departments would like to be able to add comments to the Active Lifecycle Steps tile. They monitor the work and want to keep track of why an active step has not been completed for some time.  I tried creating a copy of the Active Lifecycle Steps tile and adding a field to it, but have not been able to do so successfully.  Has anyone else done something like this and could assist me?

Allocation schedule clears out and time can still be reported without an existing schedule

I’ve been searching for better understanding of allocation schedule finish dates that pass, and time can still be reported. When a resource allocation schedule clears out in the Plan screen, resources can still report time, even if the schedule no longer exists.  After finish date passes, and progression runs the schedule line clears out. The task remains on the resource’s timesheet, and hours can still be reported. It is unclear to me why time can be reported to a project without an existing allocation.I’m told this is by design, if time has already been reported for a project, the user can continue to report time for it even if schedule no longer exists.My questions are do others experience this, and if so, are you simply communicating to the PMs to open the plan screen to monitor allocation schedules that are now blank? Or monitor using the Schedule v Actual report? Is there a configuration setting I am missing?

Mass upload of users to Portfolios using UI Path

Good Afternoon:When using development to massively load UI PATH users in the Ecopetrol Production environment, an error is occurring since it is not connecting to the browser as shown below: The instructions indicated directly on the portal https://success.planview.com/Planview_Portfolios/Fundamentals/Robotic_Process_Automation_(RPA)_Robot are followed, however it is not possible for the loading to be executed which can significantly optimize times. . user creation.

Did the Portfolios December update removed the map to capability for portfolios in Planview Admin?

Last month we had to update everyone’s email address in Planview. This was easy for us to do as we just had to export all of our users in Planview Admin to a csv, update the email address and import it back. We were able to keep our old email addresses in Portfolios and in Agileplace as we were able to use the map to function in Planview admin. After the December update in portfolios, the Planview Admin and Portfolios email addresses have to match in order to authenticate.

WRK14 Forecast to Complete calculation

We have added a Financial version called Actual Project Spend, where we are reporting "actuals" on projects, rather than using the Forecast Period date and letting Planview calculate the forecast / actuals based on that date.   No forecast costs are entered in the Actual Project Spend version. We are creating a custom version of the WRK14 report and our use of the Actual Project Spend version (FM: Working Version used when generating the report)   is causing the Forecast to Complete (and thus, the Forecast at Complete) to not calculate correctly.  I don't see a way to remove these columns from this report.   Is there a way we can change how they are calculated (or remove the columns completely) in the Financial Summary section of this report?

New actual expenditure - Invoice number

Hello,When entering new expenditures in the project plans, our users are required to enter the invoice number and the supplier. However, it happens that two different suppliers issue invoices with the same number, and we are therefore blocked by the tool, which does not accept two expenses with the same invoice number. How do you manage this situation?We are also considering the possibility of adding a prefix to the invoice number, but as the field is limited to 20 characters, we are hesitant to choose this solution.Thank you for your help!
