When is it appropriate to use shortcuts vs sub projects for dependencies? What is the value of using one vs the other?

I am trying to set a Phase field that is connected to milestones I have in my development project template. The milestones are:Requirements Planning Development Deployment Go LiveThe milestones are the same as the phases however, I want the phase field to be updated based on different triggers. Mainly I want the phase to be updated to the next phase in the list when the previous phase is completed. For instance, the phase should be “Planning” once the Requirements milestone completes. However, since there is no prior milestone/phase to Requirements I want the phase to be “Requirements” once the Requirements milestone starts and changes to Planning once the Requirements milestone completes.

Is there a way to do “What If” analysis in AdaptiveWork? We want to do analysis using a roadmap ideally to do analysis on impact to a product roadmap and resources without actually creating projects until we are ready to create them.

Trying to set up filters on a request report that only returns request greater than 30 days old based on the Submission Date. I’d like to do this dynamically but can only see an option to manually set a date 30 days ago every time I run the report. Any help on dropdowns or custom syntax to use so it automatically returns request greater than 30 days old would be great. Thank you. .

Is it possible to increase the capacity of the text fields to allow for the entry of text longer than 2,000 characters?

Do task assignments take into consideration the remaining effort, and if not, how to best handle this? Example: New task created starting today, with 100 hours of Work, and duration of 2 months. This equals 12.5 hours of work per week. This task gets marked as 50% complete on day 1, which signals that 50 hours of Work are remaining, or 6.25 hours of task assignment effort per week. From what I can see, the Task Assignment will still show 12.5 hours despite the progress suggesting otherwise.Does AdaptiveWork consider Remaining Work as part of the Task Assignment numbers for future days of an open task’s schedule? Perhaps I am misunderstanding a feature that already exists, or the way it is meant to work.Any insights or information on this would be greatly appreciated.

I’m exploring the Capacity Planning Module and when I look at it the “demand” is zero across the board for everyone. Clearly, this is not correct. I’ve read through everything I could find, but I cannot find an answer. I have resources assigned to groups as primary. Resources have been assigned to tasks. The tasks have work assigned to them. Yet, demand is zero! Any help would be greatly appreciated! Thank you!

For some reason it doesn’t seem possible to sort results in Capacity Planner by the Project Name.  Am I missing something, or is this very basic capability really missing?

Hello all,We're on Planview AdaptiveWork, and I'm trying to find out whether the Gantt chart can display dependency links visually — i.e. the connector arrows drawn between predecessor and successor tasks on the timeline itself.I can see dependencies defined at the task level, but they don't render as connectors on the Gantt. Without that visual, it's hard to read the sequencing at a glance or trace how a delay in one task would ripple through the rest of the schedule.A couple of questions:1. Is this supported in AdaptiveWork, and if so, is it a view/user setting or something that has to be enabled at the admin level?2. If it isn't supported today, is there an existing idea or roadmap item I should follow or vote on?Note: the example screenshot I've seen of this behavior is from Planview ProjectPlace (link to article), not AdaptiveWork — I'm including it only to illustrate the kind of connector arrows I mean, not to suggest the two products behave the same way. Thanks in advance for any

We have inserted a custom date field into an email that fires in a workflow rule.  When the date field displays in the email, the value is returned in this format: YYYY-MM-DD hh:mm:ss.  What function can I use in the email that will return only the date in a MM-DD-YYYY format?I’ve tried ToDate({$FieldName}) but that returns the actual text “To Date(YYYY-MM-DD hh:mm:ss)” in the email.

I exported a project schedule into excel to make edits and am now trying to re-import it. I am getting an error: reference not found when trying to re-import the schedule. The error is happening on a user that is now Inactive. I cannot re-assign tasks where hours have already been submitted by the User. Has anyone else had this problem and how did you address it?

Hello,It seems that it’s not possible to bundle downloads in a ZIP file through an API call. Is that correct ?Currently files can only be downloaded one by one.I thought i could sort this through API calls but it’s not working.

We have added a custom text field and want to set up a validation or workflow rule to prevent duplicates at the parent task level. While we successfully implemented a duplicate-blocking rule for the client object using the findcustomer function, we noticed that an equivalent function is not available for the workitem object.Could someone assist us in finding a solution or suggest an alternative approach?

Planview Community QuestionWe don't currently have Anvi AI available and are looking for ways to solve this with standard Planview capabilities.Question:When a new high-priority project is added or priorities change, how are you using Planview to identify:Which projects will be impacted Which resources become overloaded What work should be delayed or reprioritized The schedule impact of each optionToday this requires significant manual analysis across schedules, resources, and priorities before leadership can make a decision. We're looking for approaches using:APIs or Automations Other Planview featuresOur goal is to answer:"If I add this project, what projects, resources, and dates are impacted, and what are my options?"Has anyone solved this without Anvi AI? Any best practices, configurations, reports, or customer examples would be greatly appreciated.

I have a workflow which sends an email when something happens. The From Address on the email appears in Outlook as:From: AdaptiveWork <system@clarizen.com> On Behalf Of ????????where  ???????? is the name of a user with ‘Integration User’ set in AdaptiveWork and it is an Admin user. This user is not the user set as the Default Workflow User in General Settings.I thought that Integration User was only used for determining permission to use the API, and not related to outgoing emails, where I would expect the default workflow user to be used. From a security point of view, I’m not happy with sending out the user name of an integration user to anyone receiving an email from a workflow (while understanding that “security through obscurity” should not be relied on).The fact that this user is an integration user may just be a coincidence or is it because the change which triggered the workflow was made via the API, but in any case I don’t want it sent out, but can’t work out where it i

Hi Team,In our organization we are onboarding users via Azure group integration. We add people in Azure group (User, resource) and after 24hours when integration runs then sync will trigger to Planview and the person gets activated/added to Planview Portfolio Prod instance. Now the challenge/gap over here is that there is no email invitation goes to users. The requirements is we want the invitation email/notification goes to new user with the portfolios link. Also is there a way to configure/edit the content of the email notification means can we customize the email body.Your early response is appreciated.

Hi Everyone,It it possible to configure Module View or Item Details View with panel showing Change History of selected item.Any responses are highly appreciated.Sincerely,Phat Nguyen

My Organization has active ProjectPlace access. However, ProjectPlace does not appear under Products in Planview Admin nor in the Planview.Me application switcher. Is there a supported way to register ProjectPlace as a product within Planview.Me so it appears alongside Portfolios in the navigation experience? We currently see Planview.Me, Planview.Me Labs, Portfolios and Planview Admin through the product switcher. Is there a supported way to expose all licensed products (including ProjectPlace ) directly in the top navigation ribbon rather than the application switcher? From where i can activae or add Project Place here, My org do have PP tenant and provisioned to my account . Just a silly thought, can we showup all the products horizontally on Black ribbon followed by Menu, rather showing up here in the Product switcher.

Hi Everyone,I am configuring a Workflow rule for Project entity to automate actual end date to Contribution entity which associated to this project or CurrentObject. I guess to use function getlink but cannot find LinkEntity for first parameter.Any responses are higly appreciated.Sincerely,Phat Nguyen

Has anyone else been experiencing performance issues with Planview Hub recently?  It may be coincidence, but when the UI changed our performance tanked with it.It takes several minutes for pages to load and the activity log times out all of the time.Checking to see if it is our instance or if others are seeing the same thing.

I create a stacked chart in a report using the Created on Data field.  It shows as 2026-05, but I want it to say May in the chart.  I don’t see an option to change the format of this field.

Hello,We’re trying to create a report to help us identify projects that are still in an active state but have not had time entries against them within a specified period of time. Ideally we could then report on projects that have had no activity within X months. Has anyone found a way to do this?

I regularly use Data Loader to bulk update details for our projects. I use the Adaptivework system ID as the primary key, however I would prefer to also keep project name/code columns in my excel upload file so that if I need to refer back at a later point to the excel file I can quickly identify the projects I have changed by name.Leaving the Project Name and Code columns in the sheet for my later reference however leaves me open to making inadvertent changes or I could miss a genuine update to the project name and/or code fields as there is a few days lag between my export and import. Is there a way to keep the project name and code columns in my excel sheet but EXCLUDE them from the data loader?

Permission inheritance for Action Items and Decisions does not work the same as with Cases (refer to setting 3.14) - and this seems like a defect. Ticket has been logged with Support (but also reaching out to the Community). Use Case:User added to project permissions with View access Inheritance works as expected: user can see all Risks, Issues, cases associated to the project regardless of the Case creation date For Decisions and Action Items, user can only see new items created after the View access was granted. Only workaround is not much of a solution:  Add the user as the Owner, or explicitly add as a Viewer via the Permissions for each individual Action Item or DecisionThis is a large gap in functionality that I would expect Planview to either resolve as a break/fix type enhancement, or offer some packaged WF rule that synchronizes the permissions accordingly. Are there any solutions or options here???
