Does anyone have any suggestions for entering time in bulk for a group?  We have a need to capture the hours associated with some groups outside our normal Portfolios Users and Resources.  We can easily create a Resource and call it “Contractors” or “Marketing Team”, but if we have another User enter time for the entire team on a weekly timesheet, we are limited to a maximum of 168 Hrs (7D * 24Hr).  We don’t need or even want the detail down to the names.  We would like to be able to enter using timesheet functionality and view the effort within our existing timesheet reports. FWIW - This portfolio is not part of an automated financial load and is not intended to be loaded into the financials for the work.

@Whit Anthony - you can change the Resource Quantity on the resource view screen for your generic resource.  1 FTE = 24 hrs/day.  So if you need to be able to track 120 hrs a day you can set the quantity to 5.  Please be aware that having a quantity of too high, say 200, can cause undesired effects.  If you utilize allocations to forecast effort for this generic resource then there is a chance that forecasted effort can be left in the past based on the effort being forecasted.  If you have 50 hrs to forecast over the next 3 months then Planview does a calculation to take that divided by the availability.  If the number is too small then it can get ignored by progression and thus not push forward like allocations typically do.

We have had this happen in the past.  To help bring awareness to these situations we created a custom table that Admins use for quality checks that shows forecasted effort prior to time now. This way the Admin can clean it up in the most appropriate manner so forecast does not show up in reports for weeks past.

Here is a CSC page that talks about Resource Quantity: https://success.planview.com/Planview_Portfolios/Administration/011_Administration_Business_Processes/Considerations_for_Usage_and_Performance

Hope that helps

Hey @pamela.sargent,

That is a great help.  That Quantity field was staring right at me.  Thank you for the warnings on allocations.  That is currently out of scope but could easily become a next step.

Thanks again

Whit

@Whit Anthony

Other options to consider for this use case, together with the Resource Quantity, are:

@mlea

Thank you for those suggestions.  I think the Resource Quantity will be the best solution for our current scenario.  It is interesting to learn about the Portfolio Timesheet though.  It was not discussed as part of our configuration, and we may have some applications for that feature.
