What best practice recommendations for archiving Work in Portfolios?

We were recently asked what are archiving process was and we were not sure why/when archiving makes sense?   Does anyone have suggestions about what archiving criteria should be for projects and what the frequency should be?

Email Notifications

We have email notifications enabled in Planview, but currently only for timesheet users. This is because the overdue timesheet notification is also sent to people who aren’t timesheet users but have a resource associated with their account.We’d like to enable other notifications as well, but unfortunately, Planview once again proves to have very limited options in this area, as notifications cannot be configured based on roles.One workaround we’ve considered is setting up automatic timesheets for users who are not timesheet users but have a resource assigned to them. However, this feels like yet another awkward workaround.We’re curious if anyone has a better idea or uses custom notifications (if those even make sense in this context). Any advice or shared experiences would be appreciated!

How to get Planview.Me and Planview Admin enabled?

We update our test environment to version May 2024 so we could start testing out Planview.Me & Planview Admin. I looked in the success center on how to enable it but can’t find anything. I also tried logging into https://id.planview.com but I am having no luck by resetting my password or using my credentials. Do I need to create a new ticket so this can be enabled? I am just curious if anyone else has had this issue.

Resetting user-set filters on a report

Hi Community,I have a report which is expected to be run via a button on a view of the project - the button (which is a custom URL field) passes in the Project name to an action which generates the report - see bottom of this email for how this works.My problem is that occasionally, the more enthusiastic users try editing the filters on the report so generated to see the data in a different way. Unfortunately, if they remove the filter, running the report via the button causes an error as their instance of the report is not expecting the field which is passed in. As an Admin, is there any way to reset the filters on user’s instance of a report remotely? Passing variables in document publisher (Periodic Project Report)

Hello Community, I am trying to build a custom PPR that will send an docx report of a Project. Within the PPR template, there are some fields that I want to generate based on intake form variables I create within the custom action of the PPR. I know this can be done by creating custom fields and populating the variables within the fields but I do not want to use the custom field quota as its about 5 custom fields I would need. Is it possible to generate variables as part of the PPR intake form and pass them to the docx. If so, what is the comment reference format required within the PPR template? Here is an example of what I am using to generate the Doc Publisher but the variables in red and bold below are not populating. However, the File Name below in green, which uses variables from the custom action does work. I am certain my syntax in the template file are simply incorrect. Does anyone have any examples of how to populate the docx with variable data? GetCurrentIntegrationServerUrl

Management Job Title

Hello, good morning,If we manage rates by Job title in the system, we have seen that changing the job title modifies the project rates in the past, present and future.Is there any parameterization that allows the project finances to be maintained with the rates of the job titles that the resources had associated at some point?If the client changes the resource's Job title, what would be the best practice to rate the projects so that this situation does not affect the finances of previous periods in which the resource had another job title? RegardsJhon

How do I switch an inactive user to be active again - at task or project level?

When using the ‘replace resource’ function, we note the individual being replaced is automatically set to 100% and marked as an ‘inactive human resource’. However, we wanted to reinstate them on a project as staffing arrangements had changed, but we couldn’t do this. We had thought an Administrator might be able to override the default setting to 100% or that the individual themselves could override this but neither was successful. How do we reinstate them to tasks or projects where they have previously been replaced using the replace resource function?

Actual Timesheets vs. Project Assignment Reporting

Hello PV community,I’m in need of some advice to create a report that shows resources actual timesheets vs. their project assessments.I started off with creating a report with the structure below, but when I run it, it shows the actual approved time as blank...even though I’ve check that there are in fact Approved Time to the listed projects.Any advice on creating such a report or what I may be doing wrong? Hi -I generated a read-only widget link to a project and set it to never expire, but now wish to cancel it. How can I do this?  Where can I manage the access links?

Grouping Projects by an Attibute

We have had a few requests lately where a leader wants to see all the projects of a certain criteria - for example:  every project using Artificial Intelligence or every project with compliance components.  These projects could be across the whole enterprise.   So far, we have been creating a new attribute on the project to enable this grouping via a portfolio.  We are wondering if there is any other way to do this?   The concern is that we will end up with quite a list of these types of attributes at the rate we are going.   Thanks

No Access Message

After getting an insufficient response through Customer Case, I thought I’d ask here.   When someone tries the PV link and doesn’t have access, the error received says:“To request access to Planview, Please log a Help Desk incident.  In the incident description, please include the following words:  Please task this incident to the Planview support team. Your request will be forwarded to your manager and the Planview Administrator for approval.”   I am wondering if this is the message all customers have displayed when access hasn’t been created yet?  This message doesn’t really apply to our processes so would like to change it but were told it is not possible to change.  This doesn’t make sense.Thanks .

RES12 - Pending Timesheetets

Hello everyone,Has anyone else noticed that the RES12 - Pending Timesheets report doesn’t display missing timesheets if a resource has never submitted a single timesheet?I’d love to hear if anyone has found alternative solutions (aside from using the "Resources Never Submitted Timesheets" tile). While that tile technically helps, it adds extra work and limits our use of the out-of-the-box report, which ideally should include this data.Has anyone else been forced to use a custom solution instead of the FastTrack report because of this issue? Would really appreciate any insights or workarounds that have worked for you!

Disabling CRIs

We are currently evaluating Logbook, and a question came up from one of our managers.  Once Logbook goes live, is there a way to disable the current CRI module?  Or do we have to remove permissions and disable tiles/reports?

Stage Gates

Our Governance team is looking to update to a more “gated” process. We have seen some information on the Success Center regarding Stage Gates in Portfolios and I see that there is a Gated Work Dashboard available however I do not see a lot of information on configuring Portfolios to support this type of configuration. I am curious if others are using stage gates and how you have set it up, if you have any documentation you can direct me to, etc. We have used phases as sort of “gates” in the past and can go with that option again, but if there is a better way, or a specific way of doing it in Planview we would like to pursue/understand that as well.Thanks!Robin

Custom Field on time phased data for reporting - not showing up

I can’t get my custom field to show in report creation. I’m creating a custom field which is just :$ActualEffort / Days(21)So that the result is numeric as an approximation for FTE equivalent. I create on labour time phased data - but it will not show up when building a report. Any ideas?

Exposing Outcomes structure from Portfolios to be used in AgilePlace

I'm trying to use AgilePlace to visualize lifecycle flow of digital products (applications) stored in Outcomes structure in Planview Portfolios. My idea was to use Portfolios connector in Planview Hub, however this connector doesn't support Outcomes. Do you know if Outcomes structure elements can be exposed from Portfolios in any way to synchronize Outcomes from Portfolios with cards in AgilePlace?

Renaming Objectives and Targets

Hi Planview community,We are introducing benefit realisation into our organisation and are interested in keeping language and terminology coherent throughout.We’ve noticed that the whole Objectives, Targets, and Contributions module is fit to tailor, and we love that 😍. However, we have encountered some cases in which customisation wasn’t possible.We were able to rename Targets to Benefits but failed to adjust the terminology in the “Related Items” section.Maybe some of you have found a way to adjust this? Risk Assignment Email Notification

Hello PV Community, Seeking some advice on how to configure an email notification for when a new owner is assigned to a Risk and Action. I’ve got the action configured but could use some help on configuring the email notification.  What field can I input so in the email it shows the Risk’s associated Customer, Project and Link? When I select Formula Options, Project nor Customer is available to select.  I am sure there is a field somewhere that links the risk to the project it’s created under and I won’t have to create a new custom field.Appreciate any guidance. Thank you :)
