Using MS Project Add-In

We have a few users testing importing projects from MS Project to Portfolios using the MS Project add-in. When trying to upload a MS Project plan (.mpp) to Portfolios, users are experiencing an error that I’m not sure how to troubleshoot. “-General Failure: Unable to update projects with tasks: Index was out of range. Must be non-negative and less than the size of the collection . Parameter name: index” Anyone have any tips on what could be causing this error? Thank you, Sonia Varney

Can we add more column to filter records in Transfer Record Module in Changepoint

There is feature of resource transfer through transfer record module in changepoint. when we select any entity to transfer the record, there are predefined/preconfigured entity columns come to filter the records to transfer between source/target resources. But some time, we need more details/column in preconfigured column to filter out data precisely for transfer the resources, so need some way to add more column there in transfer record module. Community, please help if you know the solutions for the same.

Permission settings for Templates

Hi, How / Where can I manage the permissions related to templates? I have one superuser who tried to update a template via the “Save as template” and override existing functionality, but she is stopped via a validation rule. I am unsure if this is a default validation rule activating based on her permissions or a custom one set up by the previous product owner. The validation rule seems to stop her from deleting the previously made Template. Does anyone know if the templates have a separate permission configuration and where I can find it or if I should keep looking for a custom validation rule? E.g. does she need to be set as owner on the project she is trying to save as a template? Kind regards, Mathias

Approval flow with discssion / comments

Hi, I am looking for any best practices or examples in creating an approval flow for decisions made at certain points of our projects. I know there is an approval flow using e.g. Ziflow but I don’t have access to this one, and is wondering if anyone has had any success with something else, perhaps more simplified? The process is roughly.[Capture project data] → [Add manual comments] → [Send for review] → [Review & Discuss] → [Approve/Decline] → [Lock & Archive] The outcome would be a locked object showing the frozen data, with comments and names of the approvers. I’ve tried using the Document publisher to create a pdf that could be attached to an internal request and perhaps a related “discussion object” but I don’t know if this is the best idea. Any ideas would be welcome. 🙂 /Mathias

Creating a point in time snapshot of Project Assessment in Portfolios

Wondering if anyone can advise a way to create point in time snapshots of Project Assessments screen. Not sure what the default name is for the configured screen as we have changed it and I don’t know the history. But we have project achievements and the various RAG indicators etc. (Project Status Report). I know I can print to pdf or similar however wondering if there is a way to snapshot and keep the history in the Planview portfolios system. Any suggestions or tips on what others are doing would be appreciated.

Hi All, Recently we experienced missing data in table ip . vw_exch_rate_change_point, which is a key financial table as its used via function: pfn_exch_rate_on_date to convert from one currency to another, and interested to know if this is isolated to us, or not?

Discrepancy in Resource Hours in Plan vs Staffing screens

Users are experiencing discrepancy in the allocations when viewing in days/FTE values in Plan vs Staffing Screens. Context: For Permanents they have 35hr/week calendar and for contractors they have 40hr/week calendar. When a permanent resource is allocated 100% on a project they are showing up as 17.5d in Apr 2024, whereas same resource in Staffing screen is showing up as 20.0d. Is there any way to make sure both screens follow same calendars and avoid confusion?

Utilization vs Cost

Is there a way to capture hours on a salary employee that is more than 40 but only capture cost for 40 in the financial plan. We want to understand the true hours people are working on projects, which can be more that 40 hours but we also need to have the financial plans recognize the true cost for salary employees (which will always be 40) This can not be a global setting because we have Salary, Fixed Fee and Time and Material employees. Thank you

Changed Custom action form size

Today, the custom action form size on some of our custom actions changed? Wondering if anyone else has seen this change and if something was changed in the system to do this? Also, I can’t remember how we set the size of those forms. I think it was in global css but if someone has the solution, please can you let me know so I can change them back to what we had before. Thanks!

While managing change, how are you identifying your early adopters and change champions?

When there is something new introduced most people resist the change(fear of the unknown). Or want to wait and watch. And then, there are those curious few who want to try it out first - the early adopters! Once they try it, they share their excitement and can’t stop talking about it with others. The next few want to try it due to word-of mouth or the fear of missing out. Take for example, when there’s a brand new flavour in your coffee vending machine. Your co-worker Jill tries it and can’t stop raving about it. You want to try it too. Then, you tell others, there’s a ripple effect, you get the drift…. In my experience, identifying change champions - those early adopters/super users of your new tool/platform can go a long way. What’s been your experience?

Controlling Adjustments to Already Submitted Time Sheets

We have a unique actual time billing process that requires us to pull actual time data from Planview Portfolios before the end of the month for some, but not all of our groups reporting time. This is typically in the last week of the month. We attempt to use the Cutoff Date to limit user’s ability to disapprove and edit timesheets that have already been billed. Other groups however, do not bill and would prefer to apply a different cutoff date, typically further in the past. We don’t see a way to adjust cutoff dates by Providing Org, Resource Node, or some other Resource Attribute. Curious if anyone has a similar Use Case and/or ideas to solution this scenario.

"Feature" Discovered with OOTB Work Dashboard

We had been struggling with what we thought was a bug in the OOTB Work Dashboard. Sometimes the number of projects on the dashboard against the datamart didn’t match the number of project shown in the active portfolio run against the transactional dashboard. We knew the mismatch was not related to any refresh timing. Further we could see that the data was actually up to date in the datamart. We were told by a PV reporting consultant that this is actually a “feature” and the reason for this is due to a portfolio itself needing to be refreshed/rerun. So if you try to run the dashboard against a portfolio that hasn’t been run recently, it’s like the data will be stale in the dashboard view. Have others seen this issue and do you have a workaround? This is totally unacceptable and it is really tough to explain to end users who want to understand why the data isn’t lining up.

What Roles Used for View Only Access in Portfolios

I am curious what other customer do to provide read/view only access in Portfolios. We have two types of roles but neither is quite right. We go between the Team member role but that roles doesn’t allow access to Strategy and Programs or a Requestor role but this role doesn’t allow the user to create/maintain portfolios. We would love to use the Requestor license more but are worried about the administration of the portfolios that is needed to support this type of role. Any thoughts appreciated.

How to associate a milestone with multiple projects

Hi Team, We have a use case where we need to link milestone to multiple projects just like we can associate projects with multiple portfolios, if somehow we can built a custom field which can show reference to multiple projects that’ll solve our problem. How to create a link to specific Work IDs, etc.

I am quite new to PV and I wonder what URL parameters are available in Planview. Explicitly I tried to create a link based on a Work ID. Unfortunately, it seems that only the Project Code (sc=12345) is used in the URLs. For the end-user, only the Work ID is know and available in our overviews. This makes it difficult to create direct links for example in automatically created reminder mails. Is there any documentation which parameters are available? As it might be a customized thing, I already asked my admin but he isn’t aware...maybe I asked the wrong question? Any hint is appreciated:) Thanks in advance.
