Logbook issue with Power BI Portfolio Dashboard

We’ve recently implemented Logbook and configured it with our PowerBI dashboard. For the Risk type log we mimicked the values for Response Strategy and Escalation Level in both Planview Admin and also in Portfolios. Problem: On the Risk Matrix report page in PowerBI (on the bottom Table visualisation), Escalation Level values are populating however Response Strategy is not.   Strangely, on the ‘risk by Response Strategy’ Funnel visualisation, the values are appearing correctly (see below). I appreciate suggestions or help in troubleshooting. (I’m a PowerBI beginner)

Administering Large Resource Pools - Roles & Rates

I’d be keen to hear from any Planview customers who have particularly complex Role hierarchies and Rate cards to understand how you cope with all of the day to day maintenance.We have around 10,000 resources, split across 350+ roles with a constant demand for more to be added. Associated with this is a need for more accurate cost recovery, so an ever-increasing number of rate cards which would potentially run at an individual level or using multiple attributes which Portfolios doesn’t appear to support. Combined with a constant churn or individuals between roles and timing impacts of when individuals can move roles without impacting their timesheets, this is becoming a challenge which will ultimately be unsustainable.With the benefit of hindsight I think it’s fair to say we may have structured our resources differently to limit/standardise the number of roles and that’s currently under review, but what I can’t understand is how we can address the Role and Rate management in a way that

Autogenerated PVMaster password

This is more directed specifically at Planview but good awareness for other customers as well. When utilizing SOAPUI calls there are some characters that cannot be passed. It is our understanding that per Planview's security rules that PVMaster password can no longer be something the customer identifies but instead an autogenerated password that Planview creates and then advises the customer on what that password is. When using this new password within SOAPUI calls it has to be wrapped in CDATA tag because of the characters needing to be passed.  Why would an autogenerated password be created that violates character rules?  Ideally this would exclude some characters so this additional step is not needed.I thought about adding this as an enhancement request but my assumption is that the number of participants within that campaign that understand this technical component would never allow it to reach the required number of votes to be reviewed further.  If that assumption is wrong and th

How to create a link to specific Work IDs, etc.

I am quite new to PV and I wonder what URL parameters are available in Planview. Explicitly I tried to create a link based on a Work ID. Unfortunately, it seems that only the Project Code (sc=12345) is used in the URLs. For the end-user, only the Work ID is know and available in our overviews. This makes it difficult to create direct links for example in automatically created reminder mails. Is there any documentation which parameters are available? As it might be a customized thing, I already asked my admin but he isn’t aware...maybe I asked the wrong question?Any hint is appreciated:) Thanks in advance.Example:xxxx.aspx?pt=PROJECT&sname=$Plan&sc=12345&mdl=1&ver=1#tab-STRATEGIES

Turning off Timesheets for Active Resources

Hello All, We have a use case where a select number of users need to be able to be accounted for in capacity but we do not want them to have to do timesheets.  We want to know they exist and are available for work but not have to enter in timesheet with 00s on them or have to deal with the timesheet alerts.  The only way we have found to turn off timesheet is enter an end date, which then causes issues because we can not see them in reports as active - since they are “ended” Any thoughts or suggestions? Any one else have a similar use case

Unable to update legacy configured screens

I currently have my CRI details (Risk Details, Issue Details, Change Details) configures screens all with the ‘Legacy Screen’ tick next to them. I understood that when I open these in Design mode that I should be prompted to upgraded them.  This isn’t the case and I’m not able find any info on how to trigger the upgrade of these configured screens.Any help appreciated

Cbs1 - Insert Under

Dear Community Group,Due to changes in CBS1, we had to add a new layer. That's where the trouble began - we needed to modify the association of financial elements with CBS1. After quite the adventure, we successfully made the changes. Neither we nor CustomerCare can see any elements that still have financial data and running queries returns no results.However, when trying to use the Insert/Paste Under function, we get the following error:"Insert/Paste Under not allowed because Structure is used by financial planning."Has anyone encountered a similar issue? Financial data has been cleared, and all checks come back empty. If anyone has faced this and found a solution, we'd really appreciate your insights!CustomerCare hasn’t been very helpful beyond referring us to consulting, which, according to them, uses the same verification tools they do.Thanks in advance!Michal

Controlling Adjustments to Already Submitted Time Sheets

We have a unique actual time billing process that requires us to pull actual time data from Planview Portfolios before the end of the month for some, but not all of our groups reporting time.  This is typically in the last week of the month.   We attempt to use the Cutoff Date to limit user’s ability to disapprove and edit timesheets that have already been billed.  Other groups however,  do not bill and would prefer to apply a different cutoff date,  typically further in the past.  We don’t see a way to adjust cutoff dates by Providing Org, Resource Node, or some other Resource Attribute.   Curious if anyone has a similar Use Case and/or ideas to solution this scenario.

What Roles Used for View Only Access in Portfolios

I am curious what other customer do to provide read/view only access in Portfolios.   We have two types of roles but neither is quite right.   We go between the Team member role but that roles doesn’t allow access to Strategy and Programs or a Requestor role but this role doesn’t allow the user to create/maintain portfolios.    We would love to use the Requestor license more but are worried about the administration of the portfolios that is needed to support this type of role.     Any thoughts appreciated.

How to add a CUSTOM field to the ODATA stream

Looking to add a CUSTOM long text data field to the ODATA feed that I can use on my Power BI portfolio dashboard.  I’d like to add it to the Project Dimension but I cannot get the SQL working correctly.  I have tried this, isNull((select s.description    from ip.structure s    where s.structure_code=pv.overall_stat_comm), 'Unassigned') as [Overall Status Assessment] and I have tried this,(select STRING_AGG(CONVERT(NVARCHAR(max),line_text), '') within group (order by isnull(line_number, 1) asc)from ip.long_textwhere key1 = 'overall_stat_comm' and key2 = pv.ppl_code) as [Overall Status Commentary]As you can see, i’m feeling around in the dark here so any assistance greatly appreciated.

View of Costs - actuals and forecast

Hello.  My use case is that a) I need a means to pull financials (rates) being forecast for individual resources by activity / project.  I know I can leverage RES24 which you can total up costs and list the rate associated with resource (by activity / project) but the monthly view appears to only allow views for hours, days, and FTE.  I’d like to quickly see costs.   To that end, my second (and most important) use case is that on top of that I would also like to include actuals for months prior in the year.  Again, RES24 can do this but the actuals appear on another line on the report versus the same line which lists the work, prior hours, and future allocated hours.  Any way around all of this or perhaps a different report?  Thank you!!

Restricting User Permissions for Task’s Planned Expenditure

Hi all,Has anyone successfully restricted users to only Add and Modify the Task’s Planned Expenditure without allowing them to Delete? We aim to enhance our security in this area, as deletions are impacting other integrated systems.Any insights would be greatly appreciated.Thank you!

Using MS Project Add-In

We have a few users testing importing projects from MS Project to Portfolios using the MS Project add-in.  When trying to upload a MS Project plan (.mpp) to Portfolios, users are experiencing an error that I’m not sure how to troubleshoot. “-General Failure: Unable to update projects with tasks:  Index was out of range. Must be non-negative and less than the size of the collection .Parameter name: index” Anyone have any tips on what could be causing this error?  Thank you,Sonia Varney

Creating a point in time snapshot of Project Assessment in Portfolios

Wondering if anyone can advise a way to create point in time snapshots of Project Assessments screen. Not sure what the default name is for the configured screen as we have changed it and I don’t know the history. But we have project achievements and the various RAG indicators etc. (Project Status Report).  I know I can print to pdf or similar however wondering if there is a way to snapshot and keep the history in the Planview portfolios system.Any suggestions or tips on what others are doing would be appreciated.

Hi All,Recently we experienced missing data in table ip.vw_exch_rate_change_point, which is a key financial table as its used via function: pfn_exch_rate_on_date to convert from one currency to another, and interested to know if this is isolated to us, or not?

Discrepancy in Resource Hours in Plan vs Staffing screens

Users are experiencing discrepancy in the allocations when viewing in days/FTE values in Plan vs Staffing Screens.Context: For Permanents they have 35hr/week calendar and for contractors they have 40hr/week calendar. When a permanent resource is allocated 100% on a project they are showing up as 17.5d in Apr 2024, whereas same resource in Staffing screen is showing up as 20.0d.Is there any way to make sure both screens follow same calendars and avoid confusion?

Utilization vs Cost

Is there a way to capture hours on a salary employee that is more than 40 but only capture cost for 40 in the financial plan. We want to understand the true hours people are working on projects, which can be more that 40 hours but we also need to have the financial plans recognize the true cost for salary employees (which will always be 40) This can not be a global setting because we have Salary, Fixed Fee and Time and Material employees.  Thank you

"Feature" Discovered with OOTB Work Dashboard

We had been struggling with what we thought was a bug in the OOTB Work Dashboard.  Sometimes the number of projects on the dashboard against the datamart didn’t match the number of project shown in the active portfolio run against the transactional dashboard.  We knew the mismatch was not related to any refresh timing.  Further we could see that the data was actually up to date in the datamart.We were told by a PV reporting consultant that this is actually a “feature” and the reason for this is due to a portfolio itself needing to be refreshed/rerun.   So if you try to run the dashboard against a portfolio that hasn’t been run recently, it’s like the data will be stale in the dashboard view.    Have others seen this issue and do you have a workaround?  This is totally unacceptable and it is really tough to explain to end users who want to understand why the data isn’t lining up.

Entering Time for a Group

Does anyone have any suggestions for entering time in bulk for a group?  We have a need to capture the hours associated with some groups outside our normal Portfolios Users and Resources.  We can easily create a Resource and call it “Contractors” or “Marketing Team”, but if we have another User enter time for the entire team on a weekly timesheet, we are limited to a maximum of 168 Hrs (7D * 24Hr).  We don’t need or even want the detail down to the names.  We would like to be able to enter using timesheet functionality and view the effort within our existing timesheet reports. FWIW - This portfolio is not part of an automated financial load and is not intended to be loaded into the financials for the work.

Time Entry & Resource RW grant to their own Resouirce Record

Does time entry require resource to have read write access to their resource record?In our resource management process (because resource has RW access to their own resource record), that resrouce is able to modify their utilization for each project they are allocated.  Our desire is that only the supevisor (resource manager) should be able to modify these allocations.  Any inputs or suggestions in Customer Solution Center are appreciated.Joe

Progression & Removing Projects from Timesheets

We are finding that when a person is allocated to a project, and that allocation completes the system (progression) is not always removing that project from the resources timesheet.  Is there some specific logic that progression uses that creates an exception to removing the proeject from “Select Work”?Unfortunately, we have found that in these cases - the resource allocation appears the person should not be time writing to the preject, but the system continue to allow the time writing.  Note this will show as negative on the person’s timesheet, but does not prevent time writing.Thanks,Joe

Changes Tab, Issues Tab, Risks Tab Screen Management

 Good day, We desire to update the Changes, Risks, and Issues Tabs that are available for Work Entities. I have found this article on the Planview Customer Success Center which goes over these 3 tabs, including information on how users can customize the attributes and order displayed here. It is a nice feature that the users can update these views to their own preferences - however we are seeking a way to set up a default selection & order of the attributes displayed on these screens.  I have been digging through the success center and different admin screens to no avail. Can anyone help me locate where I can access these options, if they exist? Ideally we would have a set of default selected attributes and order when a user accesses any of these 3 screens from their project, so that key attributes are immediately visible and easily accessible: Then users could use the following options to select additional attributes for display that they may want to track:If anyone could provide

Power BI Portfolio Dashboard - unassigned fields

Have just installed the Power BI portfolio dashboard in Planview Portfolios and in the project details drill down I have missing data under some fields. In the screenshot below you will see that the Work Manager and the Work Sponsor  are unassigned and I’m not able to identify where these are being drawn from in Planview and how to ensure the fields are populated.  Any ideas welcome. thanks
